Sales Assistant

Job Summary:

Support the proper and smooth function of showroom operations and textile maintenance. The Sales Assistant, Baker is responsible for working side by side with the sales staff and Showroom Manager, adding value and efficiency to the Baker sales process, and ensuing a gracious shopping experience for all Baker clients. This position acts as an informed liaison between the showroom team, the central office, the vendors, the shippers and the customer. With rigorous training and a proactive attitude, the Sales Assistant will learn the tools to transition into a Sales Associate role.

Job Responsibilities:

  • SALES RESPONSIBILITIES:

    ▪Client Interaction/Orientation
    ▪ Working Showroom Manager to maintain a turn system for client assignment
    ▪ Ask basic qualifying questions to clients upon entry and engage appropriate salesperson
    ▪ Obtain contact information to be added to Master Contact List
    ▪ Assist clients who are not assigned to a specific sales associate; orient clients to showroom, guide them to material selections that meet their needs
    ▪ Provide exceptional customer service; ensure a gracious shopping experience for all clients o Shadow Sales Associates during client interaction
    ▪ Partner with clients through each step of sales process – provide tear sheets and samples, write quotes, manage order from placement through shipping
    ▪ Work on larger projects with Sales Associates
    ▪ Assist in preparation of outreach appointments, prepare materials, and follow up with clients ▪ Observe product spec process and quote preparation
    ▪ Accompany Sales Associates on outreach appointments as needed o Business Development ▪ Handle phone inquiries regarding pricing, stock, general product information, and order/tracking status
    ▪ Retrieve samples, check inventory, order replacement samples, handle incoming and outgoing shipments, screen phone calls to appropriate sales associate, and assist sales associates in creating quotes
    ▪ Pack and ship samples, literature and tear sheets for distribution to customers as necessary
    ▪ Generate postcards and letters for direct customer marketing
    ▪ Support and execute showroom events
    ▪ Contact clients from dormant accounts to reinvigorate the business through showroom visits or outreach appointments

  • ORDER MANAGMENT

    ▪ Create, edit, maintain customer information within Customer Master; maintain customers’ ship-to contacts o Help obtain and submit resale certificates
    ▪ Help track clients’ COM and COL when needed o Assist with taking credit card payments
    ▪ Learn how to read the price lists, enter quotes in CPQ, verify pricing against the price lists, submitting COM forms, and convert quotes to orders
    ▪ Look up inventory within the Inventory Module o Maintain the tagging system; enter information to create tag sets
    ▪ Learn eCAT: generate and send tear sheets; generate quotes

  • PRODUCT KNOWLEDGE

    o Assist in Showroom merchandising and general upkeep
    o Learn product lines and specifications, gaining working knowledge of product
    o Become familiar with showroom layout, wall displays and various floor pads
    o Assist with tagging; make sure each tag has the correct and most updated pricing
    o Assist with physical inventory

  • TEXTILE MAINTENANCE – LOCATION BASED

    o Maintain fabric wall using Swatchdog; partner with Assistant Textile Manager to order missing fabric samples and replenish memos
    o Update product tags on fabric samples
    o Organize memo room
    o Partner with Assistant Textile Manager to put together textile inspiration boards
  • OTHER PROJECTS

    o Be attentive and proactive in any open projects
    o Take on various showroom initiatives as directed by Showroom Manager

  • RELATIONSHIPS AND CONTACTS:
    Supervisory relationship: Reports to Showroom Manager Organizational Relationships:
    • Frequent contact Sales Associates
    • Frequent contact with Assistant Textile Manager
    • Frequent contact with Regional Account Coordinator
    • Frequent contact with Chicago Executive Team members
    • Occasional contact with Corporate Associates (Hildebran)

    EXTERNAL BUSINESS RELATIONSHIP
    • Frequent contact with Clients
    • Occasional contact with Local Receiver team

Requirements:

  • EDUCATIONAL AND EXPERIENCE REQUIREMENTS
  • Education: Bachelor’s Degree or equivalent background in Interior Design or Business with a focus on Management or Marketing is strongly preferred
  • Software: Intermediate skills with Microsoft Office is required
  • Experience working with a database is preferred, with Oracle experience highly desirable
  • Candidates with experience utilizing design software such as Revit, AutoCAD, SketchUp, Illustrator and InDesign are to be given strong preference
  • Two years of administrative experience or 1-2 years of retail (preferably with a luxury brand) or design experience preferred
  • Demonstrated organizational skills and outstanding customer service are a must
  • The successful candidate will possess a genuine love of working with and helping others, the ability to flex between a high volume of competing priorities, and a high degree of curiosity coupled with a drive to achieve against aggressive goals.
